What Docufen does not cover
If you have no instrumentation yet (no particle counters or other instruments), that is a part Docufen does not cover. Your data is yours: Docufen has an API and is actively developing connections with other systems, so talk to us about connecting.
How it works
- 1Upload your Word EM form and approve it as the master.
- 2Click to issue a fresh copy every time you need one, and fill it in.
- 3No transcribing, no Excel: the results from every issued copy are available to you as trends in Docufen Studio (beta, open to everyone, trial accounts included).
Problems because of paper
01
Critical data on paper
Results written on paper are not available to you in real time.
02
Transcription and uncontrolled Excel
Results are transcribed monthly or quarterly into Excel files that are not well controlled, adding risk in the transcription and in the charting.
03
Finding the problem too late
With charts available in real time, you see a trend drifting out of shape before it becomes an excursion, and detect problems much earlier.
Two types of digital EM (compared to digital systems)
Going digital doesn't have to mean a digital transformation.
| Instrument readings (EM Systems) | Manual sampling (Docufen) | |
|---|---|---|
| Best for | Real-time monitoring with instruments, e.g. particle counters, temperature, humidity, differential pressure | Manual sampling, e.g. settle plates, contact plates, glove prints, swabs |
| When the data is available | In real time, from the instruments | In real time, the moment someone enters a result, not transcribed a month later |
| Trending | Varies by vendor | Docufen Studio (beta) |
| Working together | Takes the instrument readings | Already have an EM system but still print some forms? Docufen works alongside it. Fully manual? Docufen covers everything you do by hand, but it does not take readings from instruments. |
Cost and implementation
What it takes to go live, and what your cost grows with.
| Instrument readings (EM Systems) | Manual sampling (Docufen) | |
|---|---|---|
| Implementation time | Varies by vendor and site | 5.7 working weeks, validated. See the case study |
| Licensing cost | Varies by vendor | $0 per user (unlimited users). You pay per page completed. |
Ask your vendor how long it takes to go live, including validation.
Ask your vendor whether it also covers your manual sampling forms.
Ask your vendor whether it can receive data from other systems, or send it to ours.
Not just environmental monitoring
The same approach works for other GxP documents.
